1. Introduction
Vinni ("we," "us," or "our") operates the marketing website at itsvinni.ai and the winery management application at app.itsvinni.ai (together, "the Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have regarding your data.
We built Vinni for winemakers who care about their craft, and we approach your privacy with the same seriousness. We collect only what we need to provide the Service, and we do not sell your personal or winemaking data.
2. Information We Collect
Account information
When you create an account, we collect your name, email address, winery name, and the password you choose (stored in hashed form). If you subscribe to a paid plan, payment details are processed and stored by our payment provider — we do not store credit card numbers directly.
Winemaking data you provide
As you use Vinni, you enter winemaking records: batch details, fermentation readings, vessel assignments, cost entries, inventory, and related notes. This data is stored on your behalf to power the Service.
Usage data
We automatically collect information about how you interact with the Service, including pages visited, features used, session duration, device type, browser, and IP address. This data is used in aggregate to improve the product and is not used to build individual advertising profiles.
Communications
If you contact us by email or through any support channel, we retain that correspondence to assist you and improve the Service.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service
- Process your account registration and authenticate your sessions
- Process subscription payments and send billing confirmations
- Generate AI-powered analysis, alerts, and insights from your winemaking data
- Send transactional communications such as account confirmations, password resets, and subscription updates
- Send optional product updates and newsletters — you may opt out at any time
- Monitor and improve the performance and reliability of the Service
- Detect and prevent fraud, abuse, or security incidents
- Comply with our legal obligations
4. Sharing Your Information
We do not sell your personal information or winemaking data to any third party. We share information only in the following limited circumstances:
Service providers
We work with trusted third-party providers that help us operate the Service — including cloud hosting, payment processing, email delivery, and error monitoring. These providers access your information only as necessary to perform their functions and are contractually required to protect it.
Legal requirements
We may disclose information if required by law, court order, or government authority, or if we believe in good faith that disclosure is necessary to protect our rights, prevent fraud, or address a safety issue.
Business transfers
If Vinni is acquired, merged, or otherwise transferred, your information may be transferred as part of that transaction. We will notify you before your data is subject to a different privacy policy as a result.
5. Your Winemaking Data
You own the winemaking records you create in Vinni. We store and process them on your behalf to provide the Service. We do not claim any ownership over your production data, batch records, or cost information.
Your winemaking data — including batch records, fermentation readings, vessel assignments, inventory, and cost entries — is stored securely and associated with your account. It is not shared with other users or third-party winemakers.
You can export your data at any time from your account settings. Upon account deletion, we will provide a final export and then delete your data in accordance with our retention practices described in Section 10.
6. AI Features and Your Data
Vinni's AI features analyze your winemaking data — such as fermentation readings and batch details — to generate insights, alerts, and recommendations. This analysis occurs on our infrastructure; your data is not sent to any external AI provider in a way that would expose it to that provider's training datasets or share it with their other customers.
We may use aggregated, anonymized, and de-identified data — data that cannot be linked back to any individual winery or user — to improve our AI models and the accuracy of the Service over time. This process does not expose your individual records.
As noted in our Terms of Service, AI-generated outputs are for guidance only. Please review AI suggestions carefully and independently verify them before taking action in your cellar.
7. Data Security
We implement technical and organizational measures to protect your information against unauthorized access, loss, or misuse, including encryption in transit (TLS), encryption at rest for sensitive fields, access controls, and regular security reviews.
No system is completely secure. While we take data security seriously, we cannot guarantee absolute security. If you believe your account has been compromised, contact us immediately at hello@itsvinni.com.
8. Cookies and Tracking
We use cookies and similar technologies to maintain your session, remember your preferences, and understand how the Service is used. Specifically:
- Essential cookies — required for authentication and session management. The Service cannot function without them.
- Analytics cookies — used in aggregate to understand usage patterns and improve the product. We use privacy-respecting analytics tools and do not use your data to serve third-party advertising.
You can configure your browser to reject cookies, but doing so may affect your ability to log in and use the Service.
9. Third-Party Services
Vinni integrates with certain third-party services to extend its functionality, such as Square for point-of-sale inventory sync. When you connect a third-party integration, that provider's privacy policy governs the data exchanged through the integration.
Our website may contain links to external sites. We are not responsible for the privacy practices of those sites and encourage you to review their policies independently.
10. Data Retention
We retain your account information and winemaking data for as long as your account is active. If you cancel your account:
- You may request a data export at any time during or after the cancellation process
- We will retain your data for up to 60 days after cancellation to allow for account recovery, then delete it from our systems
- Certain records may be retained longer if required by law or for legitimate business purposes such as fraud prevention
- Aggregated, anonymized data derived from your records may be retained indefinitely as it cannot be linked back to you
11. Your Rights
Depending on your location, you may have rights regarding your personal information, including the right to:
- Access the personal information we hold about you
- Correct inaccurate information
- Request deletion of your personal information
- Export your winemaking data in a portable format
- Opt out of marketing communications at any time (unsubscribe links are included in all marketing emails)
- Object to or restrict certain processing of your data

12. Children's Privacy
The Service is intended for adults operating or managing a winery. We do not knowingly collect personal information from anyone under the age of 18. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify registered users via email or a notice within the application at least 14 days before the changes take effect. The "Last updated" date at the top of this page reflects the most recent revision.
